Job Title: Part Time Duty Manager

Pay: £25,119 FTE per annum (£20,367 pro rata)

Job Purpose

Reporting to the Deputy Facilities Manager and deputising in his/her absence, responsible for the successful operation of Melksham Assembly Hall and Town Hall room hires, managing all areas of the facility; achieving a high standard of service and providing a quality hospitality experience for all customers. Being a hospitality / service industry type role, the hours of work involve weekends, evenings and Bank holidays.

This role is ideal for individuals who are comfortable working in a hospitality environment, communicating with the public, working on their own initiative and being resourceful and organised.

Responsible to: The Deputy Facilities Manager

Contacts: Town Councillors and staff, suppliers, local businesses and residents.

Key Tasks:

  • To carry out stock checks and stock rotation of the bar, placing appropriate orders as required
  • To ensure the hall and/or lounge is set up in line with recognised regulations and agreed customer requirements (to include stage P/A system and lighting)
  • To assist the Deputy Facilities Managers in preparation for events, including liaison with customers to identify requirements and caterers/entertainment, and providing hall/lounge viewings prior to events taking place.
  • To supervise events taking place at the Hall, ensuring high quality customer service is provided.
  • To be available for front of house duties, acting as an ambassador for the Council, serving behind the bar including ticket sales and cash reconciliation as required.
  • To provide refreshments to bookings at the Melksham Assembly Hall and Town Hall, as necessary.
  • To assist the Deputy Facilities Manager in administration tasks as directed.
  • To ensure that all areas are adequately cleaned and well presented
  • To assist the Deputy Facilities Manager in maintaining the Assembly Hall website, updating it regularly to ensure a professional image.
  • To produce promotional marketing material for Hall events and facilities, optimising opportunities to increase potential for hall hire.
  • To maintain a high standard of building presentation.
  • To undertake specialist cleaning as required, including maintenance of the Main Hall, cellar area and cleaning of chairs.
  • To supervise maintenance contractors as required.
  • To assist the Deputy Facilities Managers in setting up the Town Hall and Assembly Hall for all bookings.
  • To deal with customer enquiries and complaints in a polite and helpful manner
  • To ensure the smooth running of the building/event, as directed.

Indicative duties and responsibilities:

  • Set up of functions, e.g. clean tables/kitchen, ensure toilets are amply equipped
  • Preparation for events, e.g. balloons, stage set up, table decorations
  • Front of house duties, e.g. building checks for damage, safety, fire safety, risk assessment
  • Administration, e.g. raising invoices, cashing up, banking/change, filing, photocopying, purchasing for events (balloons/food/drink)
  • Marketing, e.g. creating promotional material for events and facilities and distribution of promotional material.
  • Maintain building presentation, e.g. cleaning: front door glass (inside and out), toilets, kitchen, dressing rooms, access doors, cupboards, etc
  • Specialist cleaning, e.g. Bar - glass washer, beer pipe cleaning, drinks dispensers, hall floor, chairs, tables, etc
  • Customer enquiries and ticket sales – providing key information with a polite phone manner and selling tickets.

Person Specification

Experience:

  • Previous experience in the hospitality/service industry
  • Previous experience working evenings and weekends

Desirable:

  • Experience at a supervisory level
  • Level 2 National Certificate for Personal License Holders
  • First Aid at Work Certificate
  • Level 2 National Certificate for Designated Premises Supervisor
  • Basic Food Hygiene Certificate
  • Qualification in Customer Service

Knowledge and Understanding:

  • To possess an ability to plan and prioritise efficiently
  • To deal with a range of ongoing tasks
  • Good attention to detail
  • The ability to work as part of a team
  • A basic financial awareness

Skills, Training and Personal Attributes:

  • Good standard of education e.g. to GCSE (Grades A-C, 4-9) in Maths and English
  • Able to communicate well and with accuracy both in writing and verbally and with a wide range of people
  • Able to work on own initiative, be resourceful, organised and able to produce accurate work
  • IT literate in Microsoft Office
  • Strong team working skills
  • Good personal organisation and time management
  • Strong customer service skills
  • Can work flexibly, covering holiday/absence within the team
